Office Administrator / Administrative Assistant

Brewin Design Office seeks a detail-oriented and organised Office Administrator/Administrative Assistant to join our team in Singapore.

The ideal candidate must have strong organisational, communication, and interpersonal skills, as well as the ability to work independently and manage multiple tasks simultaneously. The administrative personnel will be responsible for handling general office administration and organisation, and will have a cruicial role in ensuring the office runs efficiently, effectively, and professionally. He/she will also have executive assistant responsibilities in supporting the firm’s directors.

This is a multifaceted role that will have a diverse range of tasks, and therefore requires a highly organised individual who is flexible and resourceful.

Responsibilities

General Office Administration

Handle all general office administrative duties, including:

  • Receptionist and front-of-house duties
  • Receiving guests and attending to all visitors
  • Handling staff travel arrangements
  • Managing stationery, office supplies, pantry supplies, and other office-related vendors
  • Mail collection and distribution, and handling local and international courier arrangements
  • Organising and maintaining office administrative files, electronic and physical, ensuring easy retrieval and accessibility
  • Organising physical assets of the firm (books, files, stationery, etc) and keeping the office logically organised
  • Setup and maintain administrative systems
  • Contact list management
  • Assist finance on filing and tracking records
  • Coordinating office maintenance and repairs, including regular scheduled maintenance
  • Responsibility over office cleanliness
  • Organisation and maintainance of material library & storage
  • Purchase and send out of festive gifts etc
  • Arranging couriers/Lalamoves for pick ups and deliveries
  • Other ad-hoc duties that may arise from time to time

 

Executive Assistant Duties

Executive Assistant duties to support firm’s directors, such as:

  • Contact list management
  • Basic email management
  • Calendar and appointment management
  • Coordination of meetings, meeting support
  • Restaurant reservations, etc
  • Travel arrangements
  • Miscellaneous support
    • Appointments, schedules, reservations, itineraries
    • General admin support, filing, expenses
    • Document management
    • Information gathering for informed decision making on various matters

 

Others

  • Other ad-hoc tasks as needed
Qualifications
  • Applicant must be a citizen or permanent resident in Singapore
  • Previous experience in a similar role is preferred
  • Strong organisational skills, exceptional attention to detail, and ability to manage multiple tasks and priorities at a time
  • Logical thinking
  • Excellent written and verbal communication skills
  • Self-motivated with great interpersonal abilities
  • Proficiency in Microsoft Office software and other digital tools / office management software
  • Discretion and ability to handle confidential information with professionalism
  • Proactive and flexible approach to work, with the ability to prioritise and adapt to changing needs
  • Passion for creating an efficient and organised office environment
